1. What This Policy Covers
This Privacy Policy explains how Oryx360 Suite collects, uses, and protects information when schools, staff, parents/guardians, and students use our platform. It applies to all data processed through the Service, in line with Zambia's Data Protection Act, 2021.
2. Information We Collect
Account information (name, email, phone number, role); student records entered by schools (admission details, attendance, grades, discipline, and, where provided, medical or special-needs notes); guardian/family contact details; payment records processed via Mobile Money and other supported methods (amounts, dates, and provider reference numbers — we do not store full mobile money PINs or wallet passwords); and technical data such as device/browser information and login activity, used for security purposes.
3. How We Use Information
We use collected information to: provide and operate the Service (report cards, invoices, messaging, e-learning content); authenticate users and secure accounts; process fee payments and issue receipts; send notifications you or your school have opted into (grades, fee reminders, announcements); investigate misuse or security incidents; and improve the reliability and features of the platform.
4. Children’s and Students’ Data
Much of the information in the Service relates to students, including minors. Student records are entered and controlled by the school, which acts as the data controller for that information; Oryx360 Suite acts as a data processor on the school's behalf. Parents/guardians can access their own children's records through the parent portal. We do not use student data for advertising and do not sell it to third parties.
5. Sharing and Disclosure
We do not sell personal information. We share data only: within a school's own account (e.g. a teacher seeing their students' grades, in line with their assigned role); with payment processors, strictly to complete a mobile money transaction; with service providers who support our infrastructure (e.g. hosting) under confidentiality obligations; or where required by Zambian law or a valid legal process.
6. Data Security
We use industry-standard safeguards including encrypted connections (HTTPS), hashed passwords, role-based access controls, and audit logging of sensitive actions. No system is completely secure, but we continuously work to protect data against unauthorized access, alteration, or loss.
7. Data Retention
We retain school and student records for as long as a school's account is active, and for a reasonable period afterward to allow data export or as required for legal, financial, or academic record-keeping obligations. Schools may request deletion of specific records, subject to any retention requirements imposed by education or financial regulations.
8. Your Rights
Subject to Zambian data protection law, you may request access to, correction of, or deletion of your personal information, by contacting your school's administrator (for student/guardian records) or Oryx360 Suite directly (for platform account data). We will respond within a reasonable timeframe.
9. Cookies and Similar Technologies
We use essential cookies to keep you signed in and to remember preferences such as language and theme. We do not use third-party advertising trackers on the platform.
10. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices or legal requirements. Material changes will be communicated to school administrators where practical.
